Data collected

• Trade account: company name, VAT number, address, activity, estimated volume, surname, first name, job title, email, telephone, password (hashed), language, status history.
• Orders: order lines, amounts, delivery address, reference and remarks, status history.
• Contact forms: name, company, email, telephone, message, product concerned.
• After-sales and parts requests: brand, model, serial number, commissioning date, error code, description of the problem, postcode and town.
• Dealer applications: company name, VAT number, activity, area, website, brands wanted, contact person's details.
• Requests from private individuals looking for an installer: name, email, telephone, postcode, town, type of project, details.
• Dealer listings published on the "Where to buy" page: trading name, business address, telephone, email and website, brands and services offered.
• Technical data: IP address and request timestamps in the server logs, for security purposes (rate limiting of login attempts and form submissions).

Purposes and legal bases

• Account management, display of net prices and order processing: performance of the contract.
• Invoicing and accounting obligations: legal obligation (7-year retention).
• Replies to contact, after-sales and parts requests and to dealer applications: pre-contractual steps and legitimate interest.
• Passing a private individual's request on to an installer in the network: consent (tick box), which can be withdrawn at any time.
• Publication of a dealer listing: the company's written agreement, which can be withdrawn at any time.
• Sending news and price list updates: consent (tick box), which can be withdrawn at any time.
• Site security: legitimate interest.

Recipients

Data is processed by our team and by our technical processors: Vercel Inc. (hosting, United States), Supabase (database, servers in Paris), Resend (email sending, United States) and carriers (delivery address). Transfers outside the European Union rely on the European Commission's standard contractual clauses or on the EU-US Data Privacy Framework.

A private individual's request is passed on, with their consent, to the installer in the network chosen for their project, and to that installer only. No data is sold or passed on to other customers.

Retention periods

Account: for the duration of the business relationship, then 3 years after the last contact. Orders and invoices: 7 years (accounting obligation). Messages, after-sales requests, parts requests, dealer applications and requests from private individuals: 2 years. Dealer listings: until the agreement is withdrawn. Technical logs: a few days with the host.

Your rights

You can request access to, rectification, erasure, restriction or portability of your data, withdraw your consent and object to processing based on legitimate interest, by writing to info@new-energy-lab.com. You can lodge a complaint with the Belgian Data Protection Authority (Rue de la Presse 35, 1000 Brussels, www.autoriteprotectiondonnees.be).
